OPERATIONS MANAGER

Lloyd EcoDistrict is a visionary non-profit organization that forms partnerships in order to find neighborhood-scale solutions to some of our most vexing problems, through the lens of sustainability and resilience. We are in a growth mode and need to find an operations manager who can get and keep us organized so we can continue to do the innovative work we’ve been doing for the past eight years.

We’re seeking the kind of person who is the definition of organized; someone who enjoys color coding spreadsheets in excel and sock drawers at the same time, while planning a trip to the Azores. We need that certain someone who is a systems thinker and doer. We seek someone who has whipped things into shape, and has done so with integrity and diplomacy.

We are a small office of Swiss army knives—we all can and must do a lot of different things. The primary focus of this position is to get this office and our staff, systems and processes running like a well-oiled machine. Once that is on track there is room to grow into this position in terms of community based work as it relates to government relations, the houseless community, resilience and emergency preparation, transportation, waste prevention, community outreach and place making. There really is no end of exciting, innovation collaborative work that we get involved with, and once you have conquered the operations realm, we anticipate the ops manager growing into other aspects of our work with the community, in the focus area that is your passion.

Reports to Executive Director and Internal Affairs Committee. This position supervises the contract bookkeeper and our communications intern.

DUTIES

Office operations:

  • Equipment inventory, management and training staff on all office equipment and systems that we use

  • Hardware and software systems: Cloud-based File management and CRM and email platform management, Project management tracking systems,

  • Bookkeeping, budget tracking, submitting payroll.

  • Establishment and oversight of internal and external work planning and progress toward end of year targets, using project management software such as Trello

  • Expertise with office systems such as Salesforce, Benchmark, Dropbox, Outlook, telecom systems, procurement or ordering processes, filing systems, and cloud-based server systems

Training/ HR/ Governance

  • Develop onboarding, hiring , and contracting policies and procedures for staff and volunteers

  • Monitor and track IRS compliance with nonprofit status

  • Works closely with the internal affairs committee by providing insight and strategy with respect to finance, hiring, equipment and systems

Required Experience:

  • At least five years’ experience in project management, office management; nonprofit sector experience preferred

  • Familiarity with accounting, bookkeeping, and budgeting for a small office

  • Ability to work independently and be self-directed and confident in a variety of settings, such as corporate, small business, government, and local community groups

  • Knowledge of human resources, experience developing training manuals or systems

  • Familiarity and experience managing multiple projects with multiple deadlines and contributors

  • Experience implementing, training staff on the use of, and managing a CRM

  • Great sense of humor, strong interpersonal and cultural competence skills

  • A demonstrable commitment to promoting and enhancing diversity

  • Strong organizational and time management skills

  • Ability to recruit, lead, and direct volunteers

  • Strong written and oral communication skills

Work Environment:

  • Primarily office work environment, requiring sitting, standing, walking, reaching, and some lifting, usually under 20 pounds

  • Local travel required to attend community events, meetings, and other gatherings or events as needed to conduct duties of community outreach

  • Occasional out-of-town travel may be required

  • May require some work during evenings and weekends with flex-time permitted

Education:

4 year college degree in business management, organization development, project management preferred; or demonstrated life experience that hits the mark in terms of the experience we are seeking.

  • Telecommuting up to 30% of the work week

Salary:  $40,000-50,000.

GRANTS AND OUTREACH MANAGER

 

Lloyd EcoDistrict is a visionary non-profit organization that forms partnerships in order to find neighborhood scale solutions to some of our most vexing problems, through the lens of sustainability and resilience. We are in a growth mode and need to find a grants and outreach manager who can help fund, manage and promote the innovative work we do. We are seeking a professional who is skilled in community development work in three key areasgrants seeking, community-focused projects, and community engagement. This will be a key position in our organization. We are open to splitting or sharing this position.

 

GRANT WRITING

The grants portion of the position is responsible for writing proposals for both unrestricted operating revenue and restricted projects and for submitting timely and accurate reports for all grant-funded projects; conducting prospect identification, research and positioning, inquiry and proposal writing, grant stewardship, relationship building, budgeting and reporting; and assisting in the development of campaign materials including, but not limited to campaign packets, case statements and campaign proposals.

 KEY ROLES & RESPONSIBILITIES                                                                              

  • Conducts the full range of activities required to prepare, submit, and manage grant proposals to foundation and corporate sources.

  • Performs prospect research on foundations and corporations to evaluate prospects for corporate and foundation grants and campaign.

  • Develops and maintains a comprehensive grants management tracking system and calendar ensuring the successful submission of all grant proposals and reports.

  • Maintains a year-round focus on grant research, cultivation, proposal submissions, and reporting.

  • Ensures effective coordination with ED on the grant proposal and reporting submissions.

  • Assists with other fundraising projects and events as requested.

OUTREACH

This position requires the ability to develop and manage programs, pilots, and initiatives and to support those programs through digital, social and print media as well as public outreach.

 

KEY ROLES & RESPONSIBILITIES

  • Primary point person and manager of existing programs of Lloyd EcoDistrict: Lloyd Delivers, LAMP, LEAF, Lloyd Spark, Pollinator corridors, and utility tracking.

  • Develop and direct hands-on outreach activities, plan public events, and design and facilitate public meetings (includes forums, briefings, workshops, walking tours, and place making events); mobilize new and existing allies for specific projects;

  • Network with new or current partners and connect them to our work; create and maintain relationships in the Portland region;

  • Ability to build coalitions, achieve consensus, and create collaborations that last;

  • Ability to work independently, as well as collaboratively with teams;

  • Identify new and best practices in outreach and engagement, as well as tracking and evaluating approaches used at Lloyd EcoDistrict;

  • Communicate clearly and concisely, both in writing and verbally; skill at public speaking

 

QUALIFICATIONS

 

Successful candidates for this position will demonstrate all or most of the following:

  • Experience in developing grants for community-related projects and activities

  • Knowledge of grant research and application processes

  • Ability to take initiative, work independently, and use innovative techniques and ingenuity to prepare grant proposals and reports.

  • Demonstrated experience with event planning, excellent facilitation and meeting management skills,

  • Experience interacting with and mobilizing people from diverse populations in a wide variety of settings, including communities of color, different ethnic populations, a variety of incomes, ages and differing levels of educational attainment;

  • Demonstrated ability to complete projects and meet timelines, a positive and thoughtful approach to problem-solving; Ability to translate community based sustainability concepts and policy issues into accessible language that can engage new constituents;

  • Familiarity with smart growth, land use, and municipal government in Portland and/ or Oregon.
