Position title: ReClaim It! Volunteer Coordinator
Pay Rate: $15 per hour
Hours: Part-time position, 20 hours per week, not to exceed 1,040 hours in a calendar year (maximum annual compensation: $15,600)

Position Description: ReClaim It!(“the store”) is a retail store managed by Cracked Pots, Inc., a non-profit environmental arts organization devoted to waste reduction. The store sells objects and materials rescued from the waste stream, in order to inspire people to reuse and reimagine. (reclaimitpdx.org)

This Volunteer Coordinator position supports a wide range of activities across the store’s volunteer program areas including planning, organizing, and managing the volunteer program. This position requires self-motivation, initiative, problem-solving and creativity. The ideal candidate will have two years verifiable volunteer coordination experience, excellent communication and organizational skills, strong attention to logistics and detail, computer fluency, a flexible helpful personality, and a commitment to natural resource conservation. Job responsibilities will be coordinated with the CP Board. This position is supervised directly by the CP Board Vice-President. All work is subject to CP Board approval. This position is part-time. Hourly rate is $15. Hours not to exceed 1,040 per year with maximum annual compensation of $15,600.

Duties of Volunteer Coordinator At the direction of the CP Board, the Volunteer Coordinator will: 1. Recruit, train, schedule, and occasionally supervise volunteers to work in the store, including: ∙ Working closely with the Store Manager to provide and schedule sufficient volunteers to ensure coverage for store operations on Fridays, Saturdays, and Sundays or covering shifts him/herself. ∙ Scheduling sufficient volunteers for cleaning and stocking days on Mondays and participating in operations. ∙ Providing initial orientation for volunteers so they understand the mission of ReClaim It! and Cracked Pots, as well as the roles and responsibilities of their volunteer positions and obtaining a signed volunteer agreement from each. ∙ Ensuring safe working practices and conditions for volunteers 2. Recruit and manage volunteers to glean from the Metro Central transfer station, including: - Scheduling and supervising gleaning volunteers, - Utilizing a gleaning online calendar - Providing training regarding gleaning objectives and procedures - Participating in the gleaning process on a regular basis - Coordinating with Recology to ensure volunteers are properly trained in all safety procedures, and that the number of gleaners does not exceed the allowed limit on any gleaning day - Coordinating with Store Manager to adjust types of materials gleaned from the transfer station - Managing the efficient storage of materials at the transfer station - Ensuring sufficient volunteers are in place to transport gleaned materials from the transfer station to the store. 3. Assume the duties of “acting store manager” in the absence of the Store Manager. This includes: - Running the register - Interacting engagingly and informatively with customers - Directing volunteers - Opening/closing the shop - Maintaining a visually welcoming and safe sales and work space - Following instruction of the Store Manager to ensure smooth transitions 4. Design and implement ways to motivate, recognize and retain volunteers. 5. Work at the RCI store on Mondays in order to overlap with the Store Manager, and train new volunteers. 6. Maintain a volunteer database including volunteer email and phone contacts, scheduling, training, skill, active status, and service hours. Develop forms as needed. 7. Create and maintain three month calendars for gleaning and in-store volunteers using Google Docs. 8. Manage written communication and record keeping, including: ∙ Checking e-mail, phone messages and texts daily, and responding promptly ∙ Keeping a detailed personal time sheet and providing monthly/annual activity reports to CP Board Vice-President. ∙ Meeting bi-weekly (or as needed) with supervisor regarding status of volunteer activity level. 9. Work with the ReClaim It! Store Manager, CP Program Administrator and Board Marketing Committee to maintain and update the CP and RCI websites with timely and engaging volunteer-related information. 10. Monthly, attend CP Board meetings. Also, attend the annual Board Retreat. 11. Provide monthly report of volunteer hours and trends to CP Board Meeting. 12. Perform all other duties requested by the CP Board to support and enhance the volunteer program of the ReClaim It! store. 13.Chair organizational safety committee and maintain active safety outreach and education for volunteers. 14.Write regular volunteer email newsletters. 15.Write weekly gleaner update emails.

Skills and Abilities of Volunteer Coordinator: The ideal candidate for this position will have: ● Minimum of 2 years verifiable experience coordinating and managing volunteers. ● Excellent organization and multi-tasking skills. ● Excellent written and verbal communication skills. ● Excellent at motivating and rewarding volunteers. ● Ability to track multiple projects, to think independently and creatively and to work courteously with the public and volunteers. ● Demonstrated skills with computer programs including Word, Excel, Google Docs, Google Sheets, and any volunteer tracking programs. ● Availability and openness to flexible working hours. ● Demonstrated commitment to recycling and reuse and a strong interest in CP’s waste reduction mission. ● A reliable means of transportation to get to 1 N. Killingsworth St., 6161 NW 61st Ave., and other locations in Portland and Troutdale as needed. ● Capability and willingness to work in an environment that includes dirt, dust and mold. ● Ability to lift and carry up to 40 pounds.
